How Termy handles account, usage, and processing data.

Introduction

Termy ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our desktop applications (macOS and Windows) and website.

Information We Collect

Account Information: When you create an account, we collect your email address and any optional profile name you provide. Authentication is available through Google, Apple, or email credentials. For email sign-in, we store a one-way password hash and never store your plaintext password.

Text Submitted for Analysis: The desktop applications perform text recognition on your device and send only the recognized text and limited metadata needed to produce context-aware explanations. Screenshot image bytes are not sent to Termy servers or third-party AI providers.

Product and Diagnostic Data: The desktop applications send pseudonymous product analytics, including a persistent device identifier, an account identifier when you are signed in, app sessions, feature interactions, error and performance events, and basic device characteristics such as operating-system version, processor/GPU model, memory, and screen resolution. We use this data to operate, secure, diagnose, and improve Termy. The website separately collects aggregate page views, outbound-link clicks, email clicks, and installer download clicks.

Encrypted Diagnostic Logs: The desktop applications keep an encrypted diagnostic log of up to 5 MB on your device to help troubleshoot OCR and analysis problems. The log may contain text recognized from your screen, but it does not contain screenshot image bytes. You can clear this log from Termy's settings. It is included with a support request only when you select “Include encrypted diagnostic logs” before submitting feedback.

Payment Information: App Store purchases are processed by Apple, and direct purchases are processed by Polar. We receive subscription and purchase status needed to provide paid features, but we do not receive or store your full payment-card details.

Desktop Application

The Termy desktop application:

  • Captures the relevant window on your device when you press the hotkey
  • Performs OCR entirely on your device to recognize the text in that capture
  • Sends only the recognized text and limited analysis metadata to Termy; screenshot image bytes are never uploaded
  • Keeps screenshot context for saved vocabulary locally on your computer, where it can be removed by deleting the associated local data
  • Sends the product and diagnostic analytics described above using a persistent device identifier and, when signed in, your account identifier

Data Security

We implement industry-standard security measures including:

  • HTTPS encryption for all data transmission
  • JWT-based authentication with secure token handling
  • Regular security audits

Third-Party Services

We use the following third-party services:

  • AI inference service providers: For processing selected or on-device-recognized text to generate requested text analysis and vocabulary explanations
  • Polar: For payment processing
  • Mailgun: For transactional emails
  • Analytics service providers: For desktop product and diagnostic analytics and aggregate website metrics without cookies or personalized advertising

Selected or on-device-recognized text may be transmitted through Termy's servers to contracted AI inference service providers solely to generate the requested analysis. Screenshot image bytes are not sent. We require these providers to provide the same or equal protection of user data described in this Privacy Policy, and we do not permit them to use your data for model training.

Data Retention

  • Screenshots: Never uploaded. Screenshot context saved with vocabulary remains local to your device and can be removed with the associated local data
  • Analysis text: Processed in real time. Terms and textual context that you save as vocabulary may be retained with your account to support synchronization and training until you delete them or your account
  • Diagnostic logs: Stored locally in an encrypted rolling file capped at 5 MB. Older entries are removed as the log rotates, and you can clear the entire log from Termy's settings
  • Local vocabulary data: Stored on your device and removable from the application
  • Account data: Retained until you delete your account

Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Delete your account and data
  • Export your data
  • Opt-out of marketing communications
